The role
This role focuses on the management of IT Services and IT Projects across Vanguard and Q-bital, with an emphasis on versatility. Due to team size, all members of the IT team are expected to work across a wide range of activities. Whilst the technical “hands-on” delivery of infrastructure, networks and EUC is provided by an MSP, this role is responsible for ensuring services meet business needs, managing suppliers, and driving value through applications, collaboration platforms, AI tools and automation.
The IT Service & Project Manager will support day-to-day service delivery, ensuring alignment to business needs, and will also be expected to lead projects that bring in new technologies and solutions. A particular focus will be maximising the value of enterprise tools such as Microsoft 365, Copilot, ChatGPT, and the Microsoft Power Platform.
The role will also support the business in maximising the value of its data through reporting and use of Power BI, and will help the business ensure data is reliable, accessible and well structured. In addition, the role will provide light-touch administration and coordination of core business systems, working with application owners/ managers and vendors/ IT suppliers to keep applications aligned to business needs and operational.
This is a growth role. The successful candidate does not need to have mastered every aspect of the specification today, but must demonstrate versatility, curiosity, and the ability to learn. Development and support will be provided by the IT Director.
Responsibilities
Service Management
- Build and maintain relationships with key business stakeholders to ensure IT services meet requirements.
- Act as liaison between the business, suppliers and IT, ensuring IT solutions align with business needs.
- Establish a regular meeting cadence with the MSP to review and agree on clear next steps for complex or ambiguous tickets, as well as to discuss process improvements. Familiarity with ITSM tooling would be helpful.
- Coordination between the mobile device provider and MSP for mobile phone/SIM allocations.
- Work with suppliers to ensure effective delivery of services, with appropriate SLAs in place.
- Develop and maintain an IT Service Catalogue and associated SLAs.
- Monitor service performance, reporting on SLAs and KPIs, and drive continuous service improvement.
- Lead communication during major incidents, ensuring business impact is understood.
- Champion end-user adoption of Microsoft 365, Copilot and ChatGPT.
- Maintain an overview of business systems (e.g., CRM, finance, Ops), ensuring user access, licences and permissions are appropriately managed via the IT MSP relationship.
- Support supplier management and contract reviews for business systems.
Project Management
- Develop business cases, requirements and project plans.
- Manage projects across IT applications, collaboration tools and automation solutions.
- Oversee budgets, schedules and risks, escalating as required.
- Liaise with suppliers and internal stakeholders to ensure delivery of outcomes.
- Ensure effective testing, transition into BAU, and knowledge transfer to operational teams.
- Capture and share lessons learned.
Technical Support
- Manage small-scale data and reporting projects, ensuring requirements are captured and translated into effective solutions (e.g., Power BI dashboards, automated reports).
- Work with business teams to identify opportunities where data, reporting, and analytics can provide additional value.
- Have sight of upgrades, configuration changes, and enhancements for business systems and capture business requirements and liaise with vendors or developers to deliver solutions.
Innovation and Business Value
- Lead the adoption of AI, Copilot, ChatGPT and the Power Platform to deliver process improvements.
- Identify opportunities to improve workflows and maximise value from IT investments.
- Work closely with the IT Team and application owners/ managers to ensure effective application management and optimisation.
Requirements
We are looking for an experienced and flexible practitioner with the following:
Education, Qualifications & Experience
- ‘A’ Level education or higher.
- Professional certification in ITIL and/or PRINCE2 (or equivalent) desirable.
- At least 2 years’ experience in IT Service Management, IT Projects, or a related discipline.
- Experience managing suppliers and/or 3rd parties.
- Exposure to Microsoft 365, AI tools (Copilot, ChatGPT), and/or Power Platform (Power Apps, Power BI, Power Automate).
Technical Skills
- Rounded IT awareness across service management and business applications.
- Expertise in IT Service & Project Management disciplines and recognised best practices.
- Competent in MS 365 suite (Word, PowerPoint, Excel).
- Interest and capability in adopting AI and automation solutions.
- Willingness to build expertise in Power Platform to lead the creation of business solutions (with external support where required).
- Familiarity with data management and reporting concepts
- Awareness of business system administration activities and processes
